One address, and what happens after you write to it.
Write to hello@crazyduck.com.au from the email address you sign in with, so we can find your practice without asking. Tell us what you were trying to do and what the screen said instead. A screenshot saves a round trip; a link to your booking page saves another.
If a client is standing in reception with a booking that is not in the diary, put "urgent" in the subject line. That goes to a phone, not a queue.
We answer in Melbourne business hours. Outside them you will get a reply the next morning, and if something is broken on our side you will hear from us before you have to ask — the security page says what you get from us when it goes wrong.
Found a security problem? That goes to security@crazyduck.com.au instead, and we acknowledge inside one business day.
Business hours are 9am to 5pm Melbourne time, Monday to Friday, not counting Victorian public holidays. A reply means a person has read it and is on it, not an automatic acknowledgement.
Getting started
Signing in, setting up, and the two screens you will use.
How do I sign in? I was never given a password.
There are no passwords, anywhere. Go to app.crazyduck.com.au/admin, type your work email under Your work email and press Email me a sign-in link. The email has a Sign in button; it opens a page headed Confirm your sign-in with one more Sign in button, and that is you in. The extra press is deliberate: it stops a link-scanning mail filter from using up your link before you do.
A link works once and lasts 15 minutes. After that, ask for another. Once you are in, you stay signed in on that browser for two weeks. The page says the same thing whether or not it recognises your address, on purpose, so nobody can use it to find out who administers a practice; if no email arrives, check the address is the one your practice was set up with, and the spam folder.
Setup or admin: which one am I looking for?
Setup is the checklist you saw when you signed up: four steps along the top, Your page, Appointments, How you meet and Team & calendars, plus a Working hours row, each showing what it is set to and a button to change it. It is where calendars are connected and where you press Go live.
Admin is the everyday screen, with five sections across the top: Today, Booking types, People, Billing and Settings. Anything setup can do, admin can also do, in more detail; but setup is the shorter road when you are still getting going. View booking page at the top of the admin opens your page as a client would see it.
How do I add someone, and who counts towards the price?
People in the admin, then Add a person: Full name, Work email, Title (optional), and the tick that matters, Takes appointments. Ticked, they start on every booking type with the firm's hours, and you narrow that later from the Who column on Booking types. Unticked is for reception or an administrator: they can sign in and see everything, and are never on the booking page or counted in the price.
A person counts when they are active and take at least one booking type. Taking someone out of In "no preference" keeps them bookable by name, so it does not make them free; setting every one of their booking types off does. To give somebody the admin, tick Can administer on their card. There is always at least one administrator; the last one cannot be removed until another exists.
How do I set our working hours?
The setup checklist has a Working hours row that sets one pattern for the whole practice: each day has from and to times in quarter-hour steps, + Add another time lets you split a day around lunch, and Monday offers Use Monday's hours for Tuesday to Friday. Save with These are right — save.
One person on different hours, a Tuesday-to-Thursday partner, is set in the admin: People, their card, Edit hours, then Save hours. Save for everyone on the same editor copies that week to the whole team. Leave, days off and anything one-off do not go here; they come from each person's own calendar, and there is an Away box on each card for the office manager who does not have it.
How do I turn an appointment off, or change its price or length?
Booking types in the admin is one table: Booking type, Price, Who, When. Click a name to rename it, describe it, or change whether it is offered: On the booking page, By link only for something you send to particular clients, or Off, which takes it off the page and off the bill without touching bookings already made. The same panel sets the length for each format and adds add-ons, which add time as well as cost.
Click a price to change it; leave it at 0 and no price is shown. Click a person to change who takes it, and a day to limit when it is offered. Bookings already taken keep the price and length they were quoted.
Can I try a booking before any client sees it?
Yes, and you should. The Test booking row on the setup checklist has Try it ↗, which opens your own page. Book yourself in and watch it land in your calendar with [TEST] in front of the title. Put your own address in Send test emails to on Settings and the confirmation arrives there too, with [TEST] in the subject, so you can read exactly what a client would get. When you go live, the checklist offers Remove them for any rehearsal bookings still in the diary.
Calendars
Google, Microsoft 365, and what we do with them.
Your staff keep living in the calendar they already have. We read it to find the gaps and write into it when a client books. There is no diary to check in Crazy Duck, on purpose.
How do I connect my calendar?
On the setup checklist, press Connect a calendar, then Connect Google Calendar or Connect Microsoft 365. Google or Microsoft asks you to sign in and approve the access, and you land back on a page headed Calendar connected that names the calendar bookings will be written to. Every calendar on that account is read for busy time; bookings go into your main one.
Each person connects their own, so nobody hands over a password. On the same calendar step, each colleague has an Email name a link button. The link they receive connects their calendar and nothing else; it cannot see or change the practice's settings. From the admin, Connect a calendar on Settings takes you back to that step.
We are on Microsoft 365. Do all nine of us really have to do this?
No. Connect your own calendar first. Once one Microsoft calendar is connected and the practice has more than one person, the calendar step offers Connect the whole practice: one approval from whoever administers your Microsoft account covers every calendar in the firm, and nobody else has to do anything. It covers calendars only, and the security page prints exactly what that permission grants, because it is broader than the per-person one.
Google has no equivalent. Google is per person, always.
How quickly does a change in my calendar reach the booking page?
Usually within seconds. When your calendar is connected we ask Google or Microsoft to tell us about changes as they happen. As a safety net we also re-read every connected calendar every few minutes regardless, so a missed notification costs minutes, not a double booking.
The booking page itself never waits on Google or Microsoft. It reads our own copy of your busy times, which is why it is fast and why it never shows a slot that was taken a minute ago because somebody's cache had not expired.
How do I block out leave, a day off, or a lunch break?
Put it in your own calendar, marked Busy. That is the whole answer, and it is deliberate: your leave already lives in the calendar your colleagues look at, so there is nothing to keep in step. A recurring lunch block works the same way. The office manager who does not have your calendar can use the Away box on your card under People instead, which closes a whole day.
Your regular working week, the pattern that repeats, is the one thing set in Crazy Duck rather than in the calendar. See "How do I set our working hours?" above.
A public holiday, or a birthday, is blocking a whole day. Why?
It should not be, and normally is not. An all-day event marked Free, which is how Outlook files birthdays and public holidays, is ignored. An all-day event marked Busy blocks the day, which is what you want for leave. Any event marked Free is ignored whatever its length; a Tentative one blocks, because a client should not be offered a time you may have promised to someone else.
If a day is blocked and you cannot see why, look for an all-day entry marked busy in any calendar on that account, not only the main one. Every calendar the account can see counts towards busy time.
A card on People says "Calendar: needs reauth". What happened?
Google or Microsoft stopped honouring our access to that calendar. The usual causes are a changed password, an IT administrator switching off third-party apps, or the person removing us from their own account's security page. Until it is reconnected, that person's busy times are frozen at the last copy we took, so the page may offer a time they are no longer free for.
Fix it by connecting the calendar again: Connect a calendar on Settings, then that person's row. We do not yet email anyone when this happens, so it is worth a glance at People after any change to your Microsoft or Google account.
Video meetings: what do we need to set up?
Nothing, for Microsoft Teams or Google Meet. They come with the calendar you connected, and a video booking gets its meeting link the same way one you created by hand would. Video meetings on Settings shows each one as Ready or Not set up.
Zoom is the exception. It needs a small app created in your own Zoom account, because publishing one in Zoom's marketplace would put their review between you and your next booking. The Connect Zoom form on that card names the three values to paste in. Email us if you would rather we walked you through it.
Your booking page
The link, the embed, and going live.
Where is my booking page, and can I change the address?
It is at app.crazyduck.com.au/book/ followed by a short name made from your practice name when you signed up. Your booking link at the top of Settings shows the full address with Copy link. Hand that to whoever runs your website, or use it in an email signature as it is.
Until you go live that address answers with a short notice and nothing else; Copy preview link beside it gives you the private version that opens. The short name cannot be changed from the admin yet, and renaming your practice does not move it. If yours came out wrong, email us and we will change it by hand.
How do I put it on our website?
Two steps, and the order matters.
- On Settings, under Your practice, fill in Websites allowed to embed your booking page with your site's address, for example https://www.yourfirm.com.au, and press Save settings. Until a site is named there, the page refuses to appear inside any website at all. That is deliberate, so nobody can drop your booking page into a site you do not own.
- Press Copy embed snippet at the top of Settings and paste the one line it gives you into the page where the booking form should appear. Your web person will know where; it is the same kind of snippet as a YouTube embed.
The snippet loads nothing from anyone but us, no fonts and no trackers, so it works behind the strictest website security settings. If your site's security policy does block it, it fails visibly with a link to the hosted page rather than leaving a blank hole.
What does test mode actually mean?
Everything is real except the messages. Bookings are real appointments, they land in real calendars marked [TEST], the slot maths is the real slot maths, and not one email can reach a client. Every message the system would have sent goes to the address in Send test emails to on Settings instead, or nowhere if that is blank. The public address for your page does not answer until you go live; only your preview link opens it.
Test mode is free and has no countdown. You choose a plan at the moment you go live and not before.
How do we go live?
Three things have to be true: at least one calendar connected, a plan chosen, and Go live pressed. On Settings in the admin it asks Go live? and you confirm with Yes, go live; the same button on the setup checklist goes straight through. From that moment clients receive real confirmations and reminders. If a calendar or a plan is missing, the button says so and offers the fix instead of failing.
Paying does not publish anything. A plan bought on Billing sits there until you press Go live, and Return to test mode on Settings takes you back: emails stop, the page stays online, nothing is deleted.
Can I change the colour, the logo, or the wording clients see?
Colour, logo and the words at the top, yes, under How it looks on Settings: Heading on your booking page, Introduction, Brand colour and Upload a logo file. The page checks your colour for contrast as you type, so a pale brand yellow is darkened for text rather than shipped unreadable.
The wording of the emails and of the booking steps themselves is not editable yet. It is written in your practice's voice already, with "we" meaning you, and our name appears once, in small type at the foot of the page. If a sentence in it is wrong for your firm, tell us which one; we would rather fix the sentence for everyone.
Bookings
What a client can do, and what you can.
What emails does a client get, and when?
A confirmation the moment they book, with a calendar invite attached so it lands in their own diary. A reminder 24 hours before, without an invite, because re-sending one would make Outlook ask them to accept the meeting again. If they move or cancel, an email saying so, with an updated invite that moves or removes the existing entry rather than adding a second one.
A reminder is skipped when the booking was made inside the last hour before it would go out; the confirmation is already in the same inbox. Reminders are email only. There is no SMS, and we are not planning one.
Can a client cancel or move a booking themselves?
Yes, from the Manage this appointment link in every email we send them. That page offers Change the time and Cancel appointment only while your rules allow it. Out of the box a client can do either until 24 hours before; after that the page says changes are made by phone and shows your number.
Both cut-offs are yours, under Booking rules on Settings: Cancelling closes (hours before) and Changing closes (hours before), with Clients may cancel online and Clients may change time online beside them to switch either off entirely. No account and no password are involved; the link itself is the key, and it stops working once the appointment is in the past.
How do I cancel a booking, or move one, for a client?
Cancel from Today in the admin: each booking has a status dropdown, and choosing cancelled asks you to confirm, then emails the client and removes the appointment from the diary. The same dropdown records arrived, no show and the rest.
Moving a booking on a client's behalf is not in the admin yet. Today the client moves it from their own link, or you cancel and rebook. It is on the list below.
What does a client see, step by step?
Four steps, and the page says which one they are on. What: the appointment, from your catalogue, with anything extra that changes the time or the price. How: in the office, by phone, or by video, then who with; No preference gives them whoever is free first. When: a calendar of real gaps. Confirm: name, email, mobile, and a box for anything you should know. Then a confirmation on screen and one in their inbox.
Duration is never asked, because it follows from what they chose. A client interstate sees your times in their own zone as well as yours; a client in your own state sees no time-zone clutter at all.
Two clients booked the same slot. Is that possible?
No. The database itself refuses to hold two bookings for one person at the same time, whatever the page offered a second earlier. If two clients confirm the same slot in the same second, one gets it and the other is shown the nearest free times and asked to pick again. Nothing is charged, because we never take a client's money.
What can happen is a clash with a meeting that was put in the calendar after the client booked. We do not move either of them; that is a judgement call, and it is yours.
Why did a returning client get a new record instead of matching the old one?
Because a phone number identifies a household and an email identifies a person. A client who books with the same email is recognised as the same person. A client who books with a known phone number but a different email, a spouse using the family number, is added to the same client group as a new person, so their confirmation goes to their own inbox rather than their partner's.
Billing
Plans, cards and invoices.
How do I choose a plan?
Billing in the admin, then Choose a plan. Picking one shows you the price, GST included, and what will appear on your card statement, then Continue to payment opens a secure Stripe page for the card. Your card details go to Stripe and never touch our servers. A calendar has to be connected first, because until it is the page cannot go live and there is nothing to pay for.
Every plan has every feature. The only thing a plan decides is how many people a client can book with: 3 on Solo, 15 on Practice, 30 on Firm. Reception, bookkeepers and anyone who never appears on the booking page are never counted.
Where are our tax invoices, and how do I change the card?
Billing, then Manage billing. That opens your Stripe billing page, where every invoice can be downloaded, the card changed, and the plan moved up, down or cancelled. Invoices are issued by Blue Horse Studios Pty Ltd, ABN 37 689 863 670, the Melbourne company behind Crazy Duck, and your own ABN goes on them if you gave it at checkout.
We have more bookable people than our plan covers. What happens?
Nothing stops. Nobody is turned away and no booking is refused; Billing shows a note that the plan needs to catch up. When you add a person past the cap while live, the admin tells you which plan that moves you to and what it costs, charged from that day. Moving down happens at your next billing date.
Past 30 bookable people there is no self-serve plan. Email us and we will set up a Group agreement.
How do we cancel?
From Manage billing, without ringing anyone. You keep everything until the end of the period you have paid for, and the appointments already in your staff's calendars stay where they are; they were always your appointments, not ours. If you want a copy of everything we hold first, ask and we will send it.
We set it up months ago and never went live. Is it still there?
Probably paused, and nothing is deleted by a pause. A practice in test mode that sits untouched for a month, or reaches three months since setup, is paused with a week's warning by email: the page goes offline and we stop checking calendars. Signing in and choosing a plan brings it back exactly as you left it.
Six months after setup, still in test mode and still without a plan, the practice is deleted, with a month's warning to the same address. That one is permanent, so if the email lands while you are mid-BAS, reply to it and we will hold it.
